Terms & Conditions

Terms and Conditions set out the expectations for both the client and the Therapist to ensure that both sides are protected if any disagreement occurs. 

Terms and Conditions of Service

Please note that price lists will be shared with potential clients after the informal telephone or email discussion.

These Terms and Conditions are subject to review and may change. You will be given 30 days' notice of any changes.

1. Fees

  • Informal discussion by email or phone: No fee

    • 30 minute Informal discussion includes; discussion about the patient’s speech, language and communication difficulties. A brief description of the services available and whether they meet the needs of the child and their family. No therapeutic advice or management strategies are offered at this stage

  • Initial Assessment Appointment: Price lists will be shared after informal discussion

    • All clients must have an initial assessment appointment before commencing with therapy sessions unless otherwise agreed or unless a recent (i.e. within the last 3 months) comprehensive speech and language report is provided from a reputable source.

    • An initial assessment lasts one to two hour/s and includes a short report (summary of background information, needs and recommendations). If a more detailed assessment and/or report is requested or in more complex cases additional time may be required, it will be charged per hour.

    • The consultation may include time spent with the child, their families or other professionals that are involved in the child’s care. Fees include administration, preparation time, time taken analysing data and additional information (approx. 2-3 hours, this may vary especially if the child is bilingual)

  • Therapy Session (face to face in patients’ home): charged per 30 minutes, 45 minutes or 60 minutes.

    • Therapy sessions include therapy with the child attended by parent / guardian, and any discussion with the parent / guardian to model and explain the activities. The parent / guardian must always be present during sessions to observe how to implement the therapy and improve the effectiveness of the therapy. Homework will be discussed and/or emailed when needed and must be completed per recommendations at recommended dosage.

    • The consultation may include time spent with the child and/or their families. Fees include preparation time for appointments.

    • All face-to-face therapy appointments offered in outer London boroughs (i.e. excluding the following boroughs; Camden, Greenwich, Hackney, Hammersmith and Fulham, Islington, Kensington and Chelsea, Lambeth, Lewisham, Southwark, Tower Hamlets, Wandsworth, Westminster) may be eligible for a 10% discount.

  • Teletherapy Session (delivered virtually): charged per 45 minutes

    • Teletherapy session includes virtual appointments with the child attended by parent / guardian, and any discussion with the parent / guardian to model and explain the activities. The parent / guardian must always be present during sessions to observe how to implement the therapy and improve the effectiveness of the therapy.

    • Homework will be discussed and/or emailed when needed and must be completed per recommendations at recommended dosage.

    • The consultation may include time spent with the child and/or their families. Fees include preparation time for virtual appointments.

  • The number and frequency of therapy appointments will be discussed and agreed with you. Therapy appointments are usually offered at least once weekly, the therapist will agree the dates with you and will try to keep the same day of the week where possible. The same days and times every week are not guaranteed unless paid in advance. 

  • Basic Speech and Language Reports (set rate), Detailed Speech and Language Reports (charged per hour) and treatment programmes (set rate) 

    • Basic report includes: Summary of background information, needs and recommendations

    • Detailed report includes: Strengths and needs, long term targets, detailed recommendations, assessment results (where appropriate). Treatment programme can be requested as part of this report writing process however may increase amount of time report will take.

    • Treatment programmes include: Summary of need, short term targets, advice/resources

  • Travel Costs: Travel Costs includes only mileage costs that exceed 3 miles. If driving to sessions, mileage is calculated using Google Maps and associated costs will be charged at the standard Inland Revenue rate of 45p per mile. If travelling by public transport due to accommodating evening sessions Monday to Friday, clients will be expected to pay for the full public transport fee, receipts of proof can be requested by the client.

  • Parking costs must be provided by client where needed.

2. Other services

  • Phone calls, emails or communications with other establishments/professionals where agreed e.g. educational setting: charged at set rate

  • Phone calls, emails with advice or communications with other establishments/professionals where agreed e.g. educational setting or previous speech and language therapist. Phone calls that exceed 30 minutes, will be charged at a flat rate for additional 10-30 minutes.

  • Review or advice phone calls with client’s families up to 30 minutes. Phone calls that exceed 30 minutes, will be charged at a flat rate for additional 10-30 minutes.

3. Payment

  • Initial assessment fees and other services (requests for communication to other establishments) to be paid in full at time of booking, preferably by bank transfer.

  • Other fees must be paid within 24 hours of receiving fortnightly invoice, which will be sent on the last day of the week unless otherwise agreed in writing. Payment to be paid preferably by direct bank transfer with payment reference listed on the invoice.

  • When booking multiple sessions within a short calendar period (e.g. more than once weekly sessions), a minimum 50% deposit will be required in advance to secure each date unless otherwise agreed in writing.

  • When wanting to pay in cash, money must be exchanged before commencement of any session or appointment.

4. Cancelling/ Rescheduling appointments

  • Initial assessment appointments can only be cancelled by giving at least 48 hours’ notice. If appointments cannot be met by the child/guardian and at least 48 hours' notice is not given, this will be classed as a missed chargeable appointment and no refund will be offered. The therapist is not under any obligation to reschedule in this instance however each case will be discussed individually to come to an agreement on this based on circumstances.

  • Therapy appointments can only be cancelled / rescheduled by giving at least 24 hours' notice. If appointments cannot be met by the child/guardian and at least 24 hours' notice is not given, this will be classed as a missed chargeable appointment.

  • The therapist is not under any obligation to reschedule / replace a missed appointment or refund any therapy fees in relation to a missed appointment.

  • In the unlikely event that the therapist is forced to cancel / reschedule an appointment, a replacement appointment will be provided once an acceptable date has been agreed between you and the therapist.

5. Termination of Contract

  • A notice of termination of 2 weeks (10 days inc. weekends/bank holidays) is required if you wish to terminate this contract before all booked appointments have been completed. A notice of termination must be dated and provided by you via email. 

  • The contract can be terminated by the therapist if the parent/guardian does not follow payment instructions within agreed time, unless otherwise written or where recommendations and homework are not followed on regular basis, thus impacting the progress of the child.

6. Refund Policy

  • If an initial assessment session has been booked and paid in advance and requested to cancel giving at least 48hours’ notice, the fees will be refunded in full.

  • Therapy sessions that have been cancelled giving more than 24 hours’ notice, will be refunded in full. If sessions are cancelled giving less than 24 hours’ notice, the session will still be chargeable unless agreed in writing with a re-arranged appointment (this may not be offered if previous sessions have also been cancelled by the client).

  • If several sessions have been paid in advance and all are cancelled giving less than 24 hours’ notice from the first session, the first session will be chargeable, and the remaining fees will be refunded.

7. Liaison and Information Sharing

  • To provide a quality service and uphold professional responsibilities, information about the patient may be shared with relevant professionals with the guardian / parental consent unless there is risk to self (client / child) or others, e.g. GP, medical staff, Allied Health Professionals. Information will be processed in line with current GDPR legislation.

  • This information may include background information, assessment results, therapy targets and reports.

  • Details of known professionals involved in a patient’s care should be disclosed during the initial assessment appointment.

8. Data Protection

  • All client details, case notes and correspondence will be stored securely and treated confidentially according to General Data Protection Regulations and the Data Protection Act 1988.

  • All information, reports, and programmes are stored electronically and are password protected

  • All emailed correspondence will be password protected to ensure security

  • Any paper based confidential information is immediately scanned in and electronically stored as above.

  • All records will be kept securely for 5 years after discharge unless otherwise agreed in writing. After this time all records relating to your child will be destroyed.

9. Safeguarding

  • In the event of a safeguarding concern, where your child or another person is at risk of harm, the therapist has a legal obligation to share that information with relevant professionals in line with the Safeguarding Children's Act 2004.
